The notebook has served the shop well. Moving away from it should not cost a day of trading. This is the plan we suggest to every shop that starts on Diwaan.
Day 1: list your items
Write every item you sell in a spreadsheet with four columns: name, selling price, cost price and quantity on hand. Do not aim for perfect. You will correct it on day 5. If you have barcodes, add a fifth column.
Day 2: import and check
Import the spreadsheet into Diwaan. Read the list once on screen. Fix names that are unclear to a new cashier, such as "Oil big" becoming "Cooking oil, 5 L".
Day 3: customers who owe you
Copy every customer who owes you money from the notebook, with the amount owed today. These become opening balances. From now on, new sales on account go into Diwaan only.
Day 4: sell on Diwaan
Open the till on a phone, tablet or computer. Keep the notebook beside it for one day, in case of doubt. By lunchtime you may find you no longer open it.
Day 5: count your stock
After closing, count the shelves with a phone camera. Coming Diwaan shows the difference between what you imported and what is really there. Post the count, and your stock is now correct.
Day 6: close the day properly
Count the cash and close the day. Read the day's sales and cash. This is the first day your books kept themselves.
Day 7: invite your accountant
Give your accountant free access. They will see the opening balances and every sale since, and can set up your tax rates and accounts the way they prefer.
