What your accountant needs from you each month

Six things that turn month-end from a week of questions into a short review.

Accountants spend most of month-end asking owners for things that are missing. When these six things are ready, the month closes in days instead of weeks.

1. Every day closed

A day that was never closed is a day with unchecked cash. Close every day, even the quiet ones.

2. Bank statements matched

Import the month's bank statement and match each line. Diwaan suggests matches for payments with an invoice reference. Coming What remains are the questions worth answering.

3. Supplier bills entered

Enter every supplier bill for goods or services received in the month, even if it is not paid yet. A missing bill makes the month look more profitable than it was.

4. Paid outs with a reason

Each payment from the drawer needs a reason that an accountant can classify: transport, wages, repairs, supplies.

5. A stock count, at least for your main items

A full count each month is ideal. If that is too much, count the 20 items that make up most of your stock value. It keeps the cost of goods sold honest.

6. Answers to the open questions

Your accountant can leave a question on any entry in Diwaan. Coming Answer them in the same place, so the answer stays with the record.

When the month is reviewed, ask your accountant to lock it. A locked month cannot be changed by mistake. Corrections go into the next open month, with a note.
